How cross-system work runs

VonBolt Workforce runs work across the systems your firm already uses — governed, metered and with your people retaining material sign-off.

A cut-paper illustration of distinct abstract system structures converging through copper junctions into one governed central panel.
Separate systems become one accountable operation when the work between them is governed.

Most professional firms use a practice manager, a ledger, a document store, a signing platform and several specialist tools. A recurring cycle or client request moves through several of them. People have been carrying the information between those systems, checking that each step happened and following up when it did not.

VonBolt Workforce runs these named cross-system workflows. AI agents operate across the tools the firm already uses, under controls configured to the firm. VonBolt operates the platform, while the firm’s people keep material judgement and sign-off.

One process, properly handled

Take a process nearly every firm has: signed documents coming back. Engagement letters, declarations and returns go out through a signing platform; the signed copies return at all hours, and someone has to deal with each one.

On Workforce, the platform picks up a signed document when it arrives and identifies the client, entity and document type. It files a confident match in the correct folder using the firm’s naming convention. An uncertain match goes to an exception queue with the context a person needs to resolve it. Where the practice system exposes the relevant action, the platform updates the record so the job can move. Where the interface does not expose it, a person completes that one step with the rest of the work already staged. The run record shows what arrived, where it was filed, what was flagged and who took part.

People retain the judgement in that sequence. The platform carries the movement, matching, filing and record-keeping that used to consume their time.

Governed, because the work is accountable

Professional work carries obligations, so the platform treats controls as part of the work rather than settings beside it.

Approval mechanics hold the work at the points the firm defines. A material output waits for the named approver, and a failed check requires a person to decide what happens next. The configured controls specify what the workflow may read, what requires review and what must never leave unapproved. An exception reaches a named person with the source item, candidate matches and reason it was flagged. The resolution remains with the run rather than disappearing into a shared inbox. A person reviewing the record can see what ran, what it read, what it produced and who signed off.

Your people direct all of this from the console: what runs, what pauses, what goes out. VonBolt implements the workflows and keeps the platform governed and current; the firm keeps the judgement and the sign-off.

Costs you can see, value you can weigh

Every run on the platform is metered. The firm can see the amount charged by workflow as the work happens. A value report records what ran and what it returned, giving management evidence for the next automation decision.

Start small, grow deliberately

Workforce can begin with a micro-process, such as the bounded signed-document sequence, and prove it against the source. That component can later become one step in a multi-system workflow with a named owner and human checks. Several verified workflows can then operate as a coordinated workforce across a broader process.

The governance model stays consistent as the scope grows. A proven micro-process can become part of a broader workflow without changing where judgement, approval and accountability sit.

Where it sits in an engagement

Workforce is the running part of a larger engagement. AI Strategy and Roadmap identifies which workflows should be systemised and in what order, with evidence recorded for each. Workflow Implementation builds the selected work across the firm’s systems and tests it with the people who run it. Once live, the workflow operates on Workforce. Later workflows can join the same platform under the same governance and reporting.

What your firm takes on — and what it doesn’t

Running work this way does not require the firm to employ an engineering team or replace its core systems. Workforce is configured around the systems already in use and operated by VonBolt. The firm supplies its work, standards and sign-off. The platform carries the execution, applies the controls and keeps the run record.

The practical result is a recurring process that can move across the firm’s existing systems with its decisions, exceptions and approvals visible.

If you are weighing a cross-system workflow, begin by mapping who currently carries each hand-off and what they need to decide.

Real work, run to your standard.
